Privacy Policy

Glutrack ("we," "us," "the app") is a digital health application that helps people with type 2 diabetes track daily self-management information. Glutrack was developed as part of a quality improvement project in partnership with Texas Tech University Health Sciences Center El Paso (TTUHSC El Paso). This Privacy Policy explains what information Glutrack collects, how it is used, and how it is protected.

1. Information we collect
Glutrack is used by participants enrolled through Texas Tech Physicians of El Paso. When you join, you're assigned a unique Patient ID and password — we do not ask for your name, date of birth, or other direct identifiers inside the app. Information collected includes:
- Self-monitoring entries: blood glucose readings, medication adherence, food and portion choices, exercise duration, and any low blood sugar (hypoglycemic) symptoms you log.
- Goal-tracking data: the weekly and monthly goals you set with your care team, and your progress toward them (including badge achievements).
- App usage data: how often the app is used, to help your care team understand engagement and offer support if needed.
- Uploaded files: if your study protocol asks you to upload screenshots or photos of your records, these are submitted through a secure file-request link and stored using your Patient Study ID — not your name.
2. How we use your information
Your information is used only for the purposes of:
- Supporting your day-to-day diabetes self-management.
- Allowing your care team to review your progress at your regular clinic visits (baseline, 3-month, and 6-month).
- Quality improvement and research analysis, conducted using de-identified or coded data wherever possible.
We do not sell your information. We do not use your health information for advertising, and we do not share it with third parties for marketing purposes.
3. How your information is stored
Data collected through Glutrack is stored on encrypted, secure systems associated with TTUHSC El Paso. Files uploaded by participants are stored in a dedicated, access-controlled folder, organized by Patient Study ID rather than by name. Office systems used to access study data are password-protected, and physical access to relevant offices is similarly restricted to investigators.
4. Who can access your information
Access is limited to the study investigators and authorized care team members directly involved in your diabetes care or the quality improvement project. Participants can only see their own uploaded files — not those of other participants.
5. How long we keep your information
Information collected as part of the project is retained for up to 6 years after the project's completion, in line with standard research data retention practices, after which it is securely destroyed.
6. Your rights and choices
Participation in Glutrack is voluntary. You may ask questions about your data at any time through your care team, and you can discuss withdrawing from the program at your next scheduled visit. Because entries are tied to a Patient ID rather than your name, some requests (such as full data deletion) may need to be coordinated through your care team to ensure the right record is identified.
7. Children's privacy
Glutrack is intended for adult patients (ages 18 and older) enrolled through participating clinics. It is not directed at children, and we do not knowingly collect information from anyone under 18.
8. Security
We take reasonable administrative, technical, and physical measures to protect your information, including encryption, password-protected systems, and restricted facility access. No system can be guaranteed 100% secure, but we work to minimize risk at every step, including by avoiding storage of direct identifiers wherever possible.
9. Changes to this policy
If this Privacy Policy changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify participants through their care team.
